Planning a Large Party

Hosting Large Parties with Ease: 12 Steps to Party Perfection

If you don't entertain often, planning a party for 25 or more guests can seem like an impossibly difficult task. But if you plan ahead and stay organized, hosting and planning a large party can be easy and fun! Just follow these 12 steps and you'll be ready to relax when your guests arrive.

1) Make up your party guest list.

2) Set a date and time for the party.

3) Decide where to have the party (if not in your home). Talk to hosts of parties you've attended and call caterers to get party location ideas.

4) Establish the party theme or style of the party.

5) Send out invitations for the party.

6) Create an outline of the party details - from beginning to end.

7) Set your party budget. Guesstimate the costs of party invitations, decorations, food, drinks, entertainment, activities, party favors, rental items, and staff, if needed.

8) Create a party file box with an index card to represent each step in the party planning process. Shuffle and work the cards as you tackle your party to-do list. By party time, each detail should be taken care of and all of the index cards should be filed in the "done" section.

9) Consult friends and family for vendor recommendations for the party, then call for bids and make reservations. Think caterers, servers, musicians, rental companies, florists, and decorators. Once you've chosen party vendors and agreed on rates, set up appointments to make final decisions on party food, decor, timing, and other details. If your party is especially large and you feel overwhelmed you can always enlist the help of a party planner to oversee the set up, planning and execution of the party.

10) Shop for party decor and favors.

11) Set a schedule of confirmations and deadlines to keep the plan solid. Call all vendors and helpers the day before the party to go over the party details. Set a precise and to-the-minute time schedule for your party and give a copy to all vendors and helpers.

12) Relax and enjoy yourself at the party as the fun begins.
